       Business Builder's™ Document Management Module


Business Builder's™ Document Management Module provides a centralised document management system for all your business documents. It integrates one place where all your letters, faxes, emails, and telephone conversations can be stored. Each document can be linked to a Contact record, ensuring that a full history of communications with each of your business contacts is at hand.

Details relating to the main areas of the Document Management Module are described below.
Document Manager
The main Document Manager screen enables you to view all documents/communications relating to a particular contact. The Document Manager integrates all your document types, such as faxes, letters, emails and telephone conversations.

The Communications Details section show further information about the selected document, such as when it was sent/received, who created the entry in the Document Manager, the type of document, and further information dependent upon the document type. For example, for an email, the number of attachments included and the total size of the email will be shown.

Documents can be stored within different folders, allowing standard filing standard filing practiced.

Additionally, it is possible to view all Documents for a given Contact, or to view, for example, only letters that have been sent, or only emails etc.
Document Properties
Any document can be marked as Private, so that it will only be visible to the user who added the document to the Document Manager. This enables specific documents to be kept as secure, should they contain sensitive information

Documents can also be marked as Protected. A protected document can only be deleted from the Document Manager by the user who added the document. This ensures that no other user is able to remove documents from the Document Manager that they have not added themselves.
Viewing Documents
All documents within the Document Manager can be opened for viewing, or re-printing or sending. The type of document will determine how it is viewed.

Any other documents and files can be added to the Document Manager - they can either be copied into the Document Manager, or a short-cut link to the file outside of Business Builder™ can be created.
Automated Entries
Business Builder's™ Document Management software can be setup to monitor documents as they are created and sent/printed/faxed through Business Builder™. This enables the automated posting of documents into the Document Manager.

This negates the need of having to save letters and other documents as they are created and printed; when a letter is printed is will automatically be posted into the Document Manager for later referral.
